Appointment Booking and Cancellation Policy

This clinic operates as a sole practitioner Chinese medicine practice. Appointments are scheduled to ensure adequate time for each patient and to support the smooth and effective running of the clinic. This policy outlines the conditions relating to appointment bookings, cancellations, late arrivals, and non-attendance.

Appointment bookings

  • All consultations and treatments are provided by appointment only.

  • Appointments may be booked online, by telephone, or by email and are subject to availability.

  • Patients are responsible for providing accurate and current contact details at the time of booking.

  • Appointment times are reserved exclusively for the patient. Late arrival may result in a shortened consultation or cancellation, and the full appointment fee will still apply.

  • The clinic reserves the right to refuse or reschedule appointments if incomplete or incorrect information has been provided.

Appointment confirmations and reminders

  • Appointment confirmations are provided at the time of booking.

  • Appointment reminders may be sent via SMS or email as a courtesy. Failure to receive a reminder does not remove the patient’s responsibility to attend or cancel an appointment.

Cancellations and rescheduling

  • A minimum of 24 hours’ notice is required to cancel or reschedule an appointment.

  • Cancellations or rescheduling must be made through the online booking system or by contacting the clinic directly during business hours.

  • Cancellations made with less than 24 hours’ notice will incur a cancellation fee of up to 100% of the appointment fee.

  • Failure to attend an appointment without notice will result in the full appointment fee being charged.

Late arrivals

  • Patients who arrive late may have their appointment shortened.

  • If insufficient time remains, the appointment may be cancelled and treated as a non-attendance.

  • Late arrival does not reduce the appointment fee.

  • Repeated late arrivals may require prepayment for future appointments or result in refusal of further bookings.

Fees and payments

  • Cancellation and non-attendance fees are charged to cover time reserved and lost availability for other patients.

  • Outstanding fees must be paid in full before further appointments can be booked.

Exceptional circumstances

  • The clinic recognises that unexpected circumstances may arise.

  • Fee waivers due to exceptional circumstances are considered at the practitioner’s discretion.

Clinic-initiated cancellations

  • If the clinic needs to cancel or reschedule an appointment due to illness, emergency, or unforeseen circumstances, patients will be notified as soon as practicable.

  • Patients will be offered an alternative appointment or a full refund of any prepaid fees.
